ACCOUNTING CLERK

Springhill Suites Miami DT/Medical Center

ESSENTIAL JOB FUNCTIONS: Invoice Processing: Verifies the accuracy of invoices entered into the accounting system, ensuring correct amounts, general ledger coding, dates, vendor information (name, address, terms), and appropriate approvals. Implements necessary adjustments to accounts payable postings as directed by the Property Controller or General Manager.

Vendor Relations: Responds promptly to vendor inquiries and payment requests, fostering positive vendor relationships.

Invoice File Management: Maintains comprehensive and accurate files of paid invoices, organized by vendor.

Accounts Payable Oversight (Field): Oversees accounts payable processing at the property level, ensuring adherence to company policies and procedures.

Manual Payments: Processes manual payments accurately and efficiently as authorized by the Property Controller, VP/Controller, or CFO.

Bank Reconciliation: Performs timely and accurate reconciliations of assigned bank accounts, identifying and resolving discrepancies.

Variance Reporting: Immediately reports any significant financial variances to the Property Controller, providing clear explanations.

Tax Compliance: Prepares monthly and/or quarterly sales tax, use tax, and local occupancy tax returns in accordance with established guidelines and under the direction of the Property Controller.

Revenue Journal Management: Reviews, corrects, and posts daily revenue journals accurately and on a timely basis.

Insurance Billing: Calculates and processes monthly group insurance billings for both the company and the third-party administrator.

Period-End Support: Assists the Property Controller in the preparation of period-end financial reports and closing activities as directed.

Report Generation: Generates end-of-period reports accurately and within established deadlines.

Meeting Participation: Actively participates in relevant meetings, contributing insights and updates as required.

SOP Adherence: Learns, understands, and consistently refers to Standard Operating Procedures (SOPs) to ensure compliance and efficiency.

Safety and Security: Adheres to all safety and security procedures and regulations to maintain a safe working environment.

Attendance and Availability: Complies with attendance policies and maintains regular and reliable work availability.

Other Duties: Performs other reasonable job-related requests as directed by management.

Qualifications:

- High school diploma or equivalent; an associate degree in accounting or finance is preferred.
- Proven experience as an accounting clerk or in a similar role.
- Familiarity with basic accounting principles and practices.
- Proficiency in accounting software (e.g., QuickBooks, Aptech or similar systems) and MS Office Suite (especially Excel).
- Strong attention to detail and accuracy, with excellent organizational and time management skills.
- Effective communication skills, both written and verbal.
- Ability to work independently and as part of a team, maintaining a positive attitude.
